Overview

Remember Well• ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and how long we keep it.

We operate under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our platform, you consent to the collection and use of your information as described in this policy.

What information we collect

We collect the following categories of personal information:

  • Your name and email address when you create an account
  • Information you enter into the planner — including the name and details of the deceased, service preferences and funeral arrangements
  • Written memories, notes and photos you upload to Their Story
  • Thank you card content you generate using our tool
  • Billing information — when you subscribe, your payment is processed by Stripe. We do not store your card number or payment credentials; these are held by Stripe directly
  • Technical information including your IP address, browser type and device type
  • Timestamp and consent record at sign-up

Why we collect it

We collect your information to:

  • Provide and operate the Remember Well• platform
  • Save your progress and allow you to return to your planner
  • Generate your summary document and writing tools
  • Process subscription payments and manage your billing
  • Send you account-related emails (such as subscription reminders and expiry notices)
  • Improve the platform over time
  • Maintain a record of your consent to these terms

We do not use your information for advertising or marketing purposes, and we do not sell your data to third parties.

Who we share it with

We use a small number of trusted third-party services to operate the platform. Your data may be processed by:

  • Softr — our portal and authentication provider
  • Airtable — our database where your planner, account data and memories are stored
  • Stripe — our payment processor. Stripe handles all billing and subscription management and is PCI-DSS compliant. We do not store your card details
  • Zapier — our automation provider, used to trigger account notifications and workflows (such as subscription expiry emails)
  • Anthropic — when you use our AI writing tools (obituary, eulogy, death notice, thank you cards), relevant planner details are sent to Anthropic's API to generate personalised content. Anthropic does not use this data to train its models under our current API arrangement
  • Uploadcare — used to handle photo uploads in Their Story
  • Google Fonts — to load typography (no personal data is transmitted)

Each of these providers has their own privacy and security practices. We do not share your information with funeral directors or any other third parties without your explicit action (such as you choosing to print and share your summary document).

Data retention

Your account data — including your planner, Their Story content, uploaded photos, and personal information — is retained for the duration of your active subscription. Subscriptions are 12 months in length. If you renew or extend your subscription, your data is retained for the extended period.

If your subscription expires without renewal, you will receive a reminder email 30 days before the expiry date. If no action is taken, your account and all associated data will be permanently deleted within 30 days of expiry.

You may request deletion of your account and all associated data at any time, regardless of your subscription status, by contacting us at contact@rememberwell.com.au.

We are committed to ensuring you have reasonable time to export your information before any deletion occurs. Instructions for downloading your planner data will be included in any expiry notice.

Payments and billing

Remember Well• uses Stripe to process all subscription payments. When you subscribe, you enter your payment details directly into Stripe's secure interface. We do not receive, store, or have access to your card number, CVV, or full payment credentials at any point.

Stripe is certified to PCI-DSS Level 1 — the highest standard for card data security. You can review Stripe's privacy policy at stripe.com/au/privacy.

Billing-related communications (receipts, renewal reminders, failed payment notices) will be sent to the email address associated with your account.

Your rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your account and data
  • Withdraw consent at any time by ceasing use of the platform
  • Make a complaint to the Office of the Australian Information Commissioner (OAIC) if you believe your privacy has been breached

Security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. This includes using third-party providers with established security practices (Softr, Airtable, Stripe, Uploadcare).

However, no internet-based service can guarantee absolute security. You use the platform at your own risk.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by updating the "Last updated" date at the top of this page. Continued use of the platform constitutes acceptance of the updated policy.

Terms of Use

1. Acceptance of terms

By accessing or using Remember Well• ("Platform", "we", "us", "our"), you agree to be bound by these Terms of Use and our Privacy Policy. If you do not agree, you must not use the Platform.

At sign-up, you will be asked to confirm: "I agree to the Terms of Use and Privacy Policy and understand that Remember Well• is a planning tool only and does not provide legal, medical, or financial advice." Your agreement, along with a timestamp and IP address, is recorded.

2. Nature of the service

Remember Well• is a digital planning and support tool designed to assist individuals and families in organising information and reflecting on end-of-life arrangements.

We do not:

  • Provide legal, financial, or medical advice
  • Replace funeral directors or professional services
  • Make decisions on your behalf

All content and tools are provided for general informational and organisational purposes only.

3. User responsibility

You are solely responsible for the accuracy, completeness and legality of information you enter, and any decisions made based on information within the Platform.

You agree not to upload:

  • False or misleading information
  • Content that infringes third-party rights
  • Offensive, unlawful, or harmful material

4. No professional advice

The Platform does not provide professional advice of any kind. You must seek independent advice from qualified professionals where required. Any reliance on the Platform is at your own risk.

5. Emotional and personal use

Remember Well• operates in a sensitive context involving grief, loss and personal reflection. The Platform may not meet all emotional or personal needs, and is not a substitute for counselling, support services or professional guidance.

We are not responsible for emotional outcomes or decisions made during use of the Platform.

6. Data and content

You retain ownership of the content you submit. By using the Platform, you grant us a limited licence to store, process and display your content for the purpose of operating the service.

Your account data — including your planner, Their Story content, and photos — is retained for the duration of your active subscription (12 months). If your subscription expires without renewal, you will receive a reminder email 30 days prior. If no action is taken, your account and all associated data will be permanently deleted within 30 days of expiry. Please retain copies of anything you wish to keep. We are not responsible for loss of content after this period.

7. Subscriptions and payment

Access to Remember Well• requires a paid subscription. Subscriptions are 12 months in length and renew automatically unless cancelled before the renewal date.

All payments are processed by Stripe. By subscribing, you authorise Stripe to charge your nominated payment method for the subscription fee. We do not store your card details.

If a payment fails, we will notify you by email and provide a grace period to update your payment details before access is suspended. If payment is not resolved within the grace period, your account may be suspended pending resolution.

Refunds are handled at our discretion. If you believe you have been charged in error, please contact us at contact@rememberwell.com.au.

8. Third-party services

The Platform relies on third-party providers including Softr, Airtable, Stripe, Zapier, Anthropic and Uploadcare. We are not responsible for downtime, failures or independent privacy practices of these providers. Your use of the Platform is subject to their availability and performance.

9. Availability

We do not guarantee continuous, uninterrupted or error-free access. We may modify, suspend or discontinue any part of the Platform at any time without notice.

10. Limitation of liability

To the maximum extent permitted by law, we exclude all liability for any loss, damage or expense arising from your use of the Platform — including indirect or consequential loss, emotional distress, loss of data, or decisions made based on Platform content.

Where liability cannot be excluded, it is limited to the minimum extent permitted by law.

11. No warranties

The Platform is provided "as is" and "as available". We make no warranties about the accuracy, completeness, suitability or reliability of the Platform or its content.

12. Indemnity

You agree to indemnify and hold harmless Remember Well• from any claims, damages or losses arising from your use of the Platform, your breach of these Terms, or any content you upload or share.

13. Termination

We may suspend or terminate your access at any time if you breach these Terms or your use poses risk to the Platform or others. You may stop using the Platform at any time.

14. Service discontinuation

If we decide to permanently discontinue Remember Well•, we will notify all registered users by email at least 30 days before the Platform is closed. This notification will include instructions for downloading a copy of your planner data and any memories or photos stored in Their Story.

We are committed to ensuring you have reasonable time and a clear process to export your information before the service ends. After the closure date, all user data will be securely deleted in accordance with our Privacy Policy.

15. Changes to terms

We may update these Terms from time to time. Continued use of the Platform constitutes acceptance of the updated Terms.

16. Governing law

These Terms are governed by the laws of Victoria, Australia. Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.
